The newer washer is out of order (spin cycle issues), Seth is trying to reach a fixing person, just so you all know.
LOOK INTO THE FUTURE
Whenever you are idle, go through upcoming reservations and make sure we have no loose ends. Also look at the availability calendar and make sure we don’t have any over bookings (rooms UNIREZ “creates”, but don’t have a room assigned). If you catch one of those, let me know asap.

Ok pool news.
Well everything is looking good so far. I will give the hot tub a once over right before I leave. It mostly just needs to warm up. The pool should be fine for while I am gone. The big thing people are going to need to keep an eye on is the water levels. The pool should be ok unless there is a whole mess of people slashing all over the place. The hot tub though, needs to be filled almost once a day. The most important thing is to keep the water level over the top of the intake on the side. There is a small hose hanging on side of the shelf in the chem room. You just need to hook it up to the faucet on the outside wall and let it run a bit. It’s about 10min per inch of water. If you all could be responsible for keeping an eye on the level (perhaps you lovely cafe ladies?) Steffi knows how to add water, as well as Seth and Regino. It’s not too hard :). I will have my cell so please call me if you have any questions. I will be reachable almost the entire time although I don’t know how well I will have service in Blaine. But I will try not to leave you hanging. BYE!!!!

Room 118 if someone could get a hold of the guest to see if Seth could go in and quickly fix the bathroom ceiling fan! AWESOME! I received a package from visions espresso…..with the grinder part Laura and I have been waiting for…..I was so exited until……..THEY SENT ME THE WRONG FREAKING MODEL PARTS!!!!!! They sent me the home version and not the commercial version. ERRRGHHHHH…I think that will be the time I go through them! To many mix ups, and non shipments! Sorry Laura! I called Rancilio and left a message to go through them and get the right parts ASAP! Thats my project for now. Soon we will get you you’re grinder back

Jut a few things for the morning:
#1234758 need to have massages confirmed w/ the spa. I had spoken to Dana right before she closed and the times were available. They need 3 separate 60min Swedish massages at 5:15 on 8/16. The names of all three of the ladies getting the treatments are in the rez.
Steffi, those folks who had all the massage treatments you booked; I can’t get a hold of them. I have called everyday and left a message on the number you left.
Hot Tub update. Just so you all know the story. When I came in to to my usual daily check-up there was water spraying out the side of the hot tub filter pump. Not the pipe but the actual pump itself. It is shut down because without that pump we can’t run the heater. Rob is calling his distributors and is trying to get a new pump here as fast has he can. Please tell people that we are really sorry about the breakdown. Because we are on an island it’s sometimes hard to get specialized equipment here in a timely manner. So… Bottom line. The hot tub could open tomorrow or in a week. It’ll take as long as it takes.
Not the best time for me to be gone for a few days is it? Sorry.
Oh and in case anyone is wondering. I did order Hot Cocoa from Sysco on Sunday. We should hopefully get it soon.

Good Afternoon! So nothing too eventful this morning…the Victoria Clipper called and I told them that we will have to charge them for #1126345 even though she left a day early.
#1217810 canceled her kayaking trip this morning with Outdoor Odysseys and I told her that we have to still charge her because of OO’s cancellation policy. She was totally fine with that.
Broken foot man canceled his reservation w/ us and I called SJO and canceled his kayaking as well.
Other than that, there’s not a whole lot that went on this morning.

Mornin All! Just a couple of little things.
- Room 106 borrowed a laundry basket from the laundry room. They are leaving early so please let Raquel know it’s in there.
- Reservation numbers 1225254 and 1232154 were no-shows. Please charge them accordingly in the morning.
- Victoria Clipper reservation #1126345 is checking out day early. Please read the notes I left in the rez.
- Reservation #1232035 is checking out on the 24th and had put something from the gift shop on his room. I noticed late last night that we don’t have his card saved on file. We always need to make sure we save the card number when you make a new reservation.
- A very light, minor, caffeine-free, diet-gripe. I know it’s busy for the morning people. But please, if you can, try to remember to check all the guests out. That way when we have a rush at 3pm we aren’t getting errors from the system telling us that people are still checked into the room. Thanks!
Congrats to Lilly on her new wheels. Makes me jealous. Say… Think I can borrow it for the weekend?

Not too bad tonight. Except for the ferries being over an hour late after the 5:05.
NO SHOWS
Rooms 334 and 339 were no shows at closing. We may need to talk to the folks in 101 because these are rooms made for their people. One of the names mentioned in the notes has his own room under his own name for last night. It’s all very confusing.
BIKE STUFF
One of the orange bike’s (I forgot to get the number) seat is all wonky. It seems that not only is it tilted way too far back but one of the springs has fallen through the retaining ring thus twisting the seat at a odd angle. I have but it up on my front porch to keep it out of circulation. Can we perhaps have Seth look at it? If doesn’t think he can fix it we may have to take it to Paul or swipe the seat off of the “parts bike.”
Gio’s cinnamon rolls are indeed yummy. They need raisins though.

Went REALLY smoothly today. SO MUCH LUGGAGE. I will be done in the kitchen for the baking.
I went down and purchased disinfectant for thehelmets. Its the Lysol in the back above where we store th e luggage. MMMmmmm smells fresh! Nothing else I think. Once again, My friday has crept up on me. Every one have a good monday and tuesday! Ciao

Wow. the bikes were popular this morning, there must have been a fleet of them out on the streets (haha, bad joke)
I’m going to be out of the office for a few days but i set you all up with folded key envelopes (and extras already folded behind) and also napkin/silverwear sets
The Lawyer group returned the kitchen key which was borrowed so they could move their stuff in when Relay for Life was in the conference center.
Gio let me try one of her yuuuummy gooooey cinnamon rolls this morning. MMMMMMM!!! I have to say it was very delicious!!
OH yeah. And remember when closing and lock up EVERYTHING, everything.

It was late and she didn’t want me to come in and look at it. Can you please have Regino look at it in the morning? He may have to take them a new phone. These folks are our accidental 2009 reso. They will be moving to 323 on Sunday. I have put that in the housekeeping notes but can you please ask them to take care of that room as soon as possible and to let you know when it’s done? These folks aren’t too happy about their situation so we should try to make their stay as pleasant as we can.

#6’s front wheel is a little bent. I don’t think it’s bad enough that the bike shop can’t true it. I don’t know if we can take it to them on a Sunday but either way I put #6 inside the fence instead of keeping it out with all the others. Marina said she rode it one night and noticed the wobble.

CONFERENCE ROOM
Hey all. Sorry to do this but the folks using the conference room have requested that NO ONE go in there while they are using it. If Gio has to use the kitchen they want to be informed first. They also do not want housekeeping to come in. They found one of the doors locked but ajar this afternoon and were very concerned. So. Because they have sensitive materials in there can we try to respect their wishes until they check out? They will let us know if they need anything. Thanks and sorry for any inconvenience.

SNAFU CENTRAL
Like Steffi said we found a few rooms that were mistakenly made for 2009 when they should have been for 2008. Most of them were moved without incident but 2 of them are now special cases. The one we need to worry about is a room for Saturday. Rezo #1160590 will be here for 2 days. I have left a message on their phone with instructions to call us. They have 3 options for rooms. 1) They can have our emergency hold room (215) for two nights. 2) They can have 215 then move to a Sky Place for the last night. 3) They can cancel with no penalty and we can help them find a room elsewhere. No matter what they choose please try to be as helpful and as kind as possible. You can discount their room as you need. Use your best judgment, we want them to be happy. Please let me know if you have any questions.
POOL DOOR
The pool door has stopped working. It is not making any flashing lights so I think the batteries might be dead. I will try to find the time and the tools to fix it tonight but I have also left a message on Seth’s phone. If I don’t see Seth I will try to wake up early and fix it if I don’t get it done tonight. I’ll update the blog if I take care of it.

The guests in 335 might want to move. They are not happy with the noise above. I think we can swap them into 338 for the rest of their stay. I am sure you will hear something from them in the morning. (Although I hope you won’t.)

The Winters
A super sweet pregnant couple made reservations with us by accident for 2009. We were able to put them up at the BW, all is good. I encouraged them to please use our facilities, so if they want to use the pool or our bikes, please let them as per moi.

So after that M & I had the great idea to look for other reservations made for 2009 and we found a handful, some had add-ons, so these people are coming this year. We moved them and made notes. Guys, always call guests if they made reservations for 2009. It’s an easy mistake to make and we can avoid a lot of frustration that way.

ADD-ONS
We have some issues with not having enough or the wrong info regarding add-ons, like sending guests to Roche Harbor instead of our port here for a kayak trip, sending guests to places at the wrong time, with the wrong company and what not. Of course that is totally unacceptable and not how we want to treat our guests.
Please write in the guest remarks:
1) when, where, who, what, how many: 7/18, 6 PM, 3 hour kayak tour with San Juan Outfitters out of Roche Harbor, 2 adults
2) fee added, confirmed, voucher made (if not, make an alarm, explaining what needs to be done, exactly: voucher needed, confirmation needed, don’t write: follow up, that’s not enough)
3) Today’s date and your initials (I want to know who you are, always)
Too much information is better than too little. Write away. And even if it’s busy and stressful and all that, remember: we do this to make our guest’s stay more pleasant. This is their vacation, make it fabulous. Be focused and kind.

Beware when processing ART faxes: if it says ‘Reservation Request’ on top of the page, make a new reservation. If it says ‘Rooming List’, the reservation has been made already and we simply need to double check dates, length of stay etc., before faxing it back.
DOUBLE CHECKING
Don’t forget to double check online reservations, clipper faxes, etc. in the basket on the back desk, daily, always, it needs to be part of your daily routine. Please read Cindy’s memo on the subject and initial.

We really like your summer tips. One more thing to add, if you want to go to a REALLY fun doggy camp, try Down Town Dog, 360.378.0981 (you can use your mom’s new cell phone) you get to load up on the Bow Wow Bus and they take you to all kinds of really fun swimming holes when it is hot,(even when it’s not) they also take you on long walks in the woods or to the beach. We get to go once or twice a week, but if my parents forget to take us, or they decide we can skip a few times I (Thor) get really obnoxious with my tennis ball and won’t leave my parents alone so finally they get it that I need some extra hard play time with the rest of the dog gang at Down Town Dog.
Lavender, that sounds like a fun thing, can you eat it? I like to taste everything, sometimes my family thinks I am part goat..
I (Zeus) really like baby carrots, they taste so good when they come right out of the cold refrigerator, they are good for my eyes too.
Stay cool our fellow black lab. Maybe we will catch you at the local swimming hole soon. Anyone seen Roxi???

BE COOL - SUMMER TIPS FOR THE BIG BLACK DOG
As we all know we can only loose heat through our tongue or feeties. Have your people put a water bone (ice cube) on your feeties. It cools you right off. If you like, twitch and growl a little, they’ll give you a treat in addition to keeping you cool.
I get aspirin after walks, because my hips are bad and I’m old. My Steffi puts it in a bread ball or a cheese ball. Leave the bread ball in your mouth for a bit, then spit out the aspirin, you’ll get way more treats that way.
As you undoubtedly noticed, the flea season has arrived. It’s not as bad as last year. If you are like me and don’t like pesticides, have your people comb you daily, then spray lavender toner on you (Laura gave some to my Steffi from the Palindaba store). It’s good against hot spots too and makes you smell like old lady. Remember not to visit with Morgan after using lavender toner, he gets sneezy. Eat lot’s of garlic and brewer’s yeast. My treats come in that taste and the bugs don’t like the smell. If your people aren’t forthcoming with the treats, just sit in front of the treat bag for an hour, they always break.
Well, my fellow black dogs, these are my summer tips. Remember, always lick your people first and then your privates, humans like it better that way.

UNDERSTAFFED
Sweeties, over the next couple of weeks we are skeleton staffed. Please be on time, work hard, think ahead and make it easy on the person working after you. Especially at Bird Rock, do as much as you possibly can for the following shift. I won’t be around much, working the desk at ELEMENTS, but call me if there are issues. I can always do a store run, etc.
A couple of other random things: if you promise something to a guest (like an early check in), write a note in that guest’s file. Please don’t give out room numbers before check-in time, things can change.
This is it, this is what we are working towards all year. Be focused, keep your spirits high and be kind.

There is a lil’ package, on the desk. Came from guest # 1194995. It is a pillow from her grandmother. Its very special to her. So I have the whole shipment label ect… just need to be taken up to the San Juan post.
guest # 1224301, we were told to charge the card that is on file. The card that is on file does not want to go through. Read the notes in remark’s and see if you have problems like I did. We need to figure out another card that we can charge to pay for this room. Lets see…..I’ll probably write more after my shift :>

UPDATES
1) We have an update on the refund we are trying to do for reso #1028844. It turns out that since the transaction was done over 120 days ago, our system won’t allow us to refund it. We have sent in paperwork to Authorize.net that, once approved, will allow us to refund the amount. I have left a message on the guest’s phone informing them of this but if they call please just pass on the message that we should know in the next day or so if we can refund the card or, if we will have to mail them a check to refund them.
2) I have also talked to the originating travel agent for the folks up here for the trial. She is going to try and cancel the room through her system so we won’t get charged the commission for a 13 day stay. If she cannot cancel through her system she will call Unirez to inform them not to charge us for that reservation. She should be calling us later today to let me know how it went. Hopefully everything will go smoothly.

We all got through the weekend! Totally sold out! Everything went really smoothly I must add
Guest# 1028844 has not been refunded yet! A few of the bike seats are broken. Three of them have no numbers on them. Errrrr. And also Natalia will probably run out of milk again before I leave. I am going to be off this mon and tue. So could you guys check up on her, and make sure that some could get her milk. Morgan ran and got her some milk today, but shes been busy out there! Let ALL the guests know that WE have the best coffee in town! Well everyone have a great couple of days! I’m outta here.

Tomorrow morning (7.14.. Priscilla’s birthday!) someone needs to bring a small package up to Post San Juan. It is important that it is brought up because it is insulin and the man who left it needs it soon. The package is in the refrigerator so when the second morning person gets here, if one of you (Morgan or Stephan) could bring it up there, that would be awesome!

TRIAL PEOPLE
I reserved the conference center for our trial having guests through next week (except for Tuesday, 7/15, when we have relay for life). I didn’t charge them yet, since the third room issue is not resolved. I said we would take $50 per night. Please charge once the third room issue is resolved.

Hookay. Lots of randomness for you tomorrow. Here’s the biggie.
1) First the back-story. #209148163 technically has three rooms. #209597162 and #209150841 are the other two. They are here for 13 days each and all three reservations were made by a travel agent and sent in via Unirez. They are up here for court and “were” going to use #209597162 and #209150841 to sleep in and use #209148163 as an office for the duration of the stay. A bit over an hour or so after checking-in and paying for the rooms, they called and said that they no longer wanted to keep #209148163. There is a slight problem with letting them go on it. First off, it’s a huge 13 day stay and they are canceling it the day of. The other problem is that since the reservation came in via Unirez, we are going to be charged commission for this room from the originating travel agent. I told the guest in charge, now staying in #209597162 that I would have to charge them for last night pending getting in contact with the travel agent to have them rescind the commission fee for that room. Right now the full amount of the 13 day stay is charged as a cancellation fee on room #209148163. Perhaps if Steffi is in tomorrow she can decide how we want to handle refunding the guest or not. I have left a message on the travel agent’s phone but they will not be open until Monday. I have talked to the male guest in #209597162 and they know the whole deal. Ask me if you have questions.
2) There is a day spa voucher on the back desk that needs to make its way to the spa office in the morning. It was for one of our guests who walked in to make a spa treatment res. and then asked to have it paid through their room. The voucher is just for the spa’s book-keeping records.
3) Tory made a reservation for a guest (#1219217) who is moving from the Friday Harbor House to here tomorrow. They will be calling to get a ride from the FHH to ELEMENTS at around 9:30am. Raquel says that Regino will be around to run the van. Apparently the guests have a lot of luggage. They know that they will not be able to get into their room early but they do want to drop off their luggage.
4) The guest in #1192120 had us help surprise his wife with some last minute roses. He paid with his credit card but we forgot to get the receipt from San Juan Florist. Can you call them in the morning to get the total for their flowers? Thanks.
5) I am still having problems trying to refund the initial payment in room #1028844. We need to refund that $136.25 to the first card on the list. WRP gives me an error when I try to refund it and Authorize.net has the wrong password apparently. If the guest come in asking about it, please just let her know we are still working on it and we may have to have Cindy do it on Monday.

Guest had ordered room service with explicit instructions to have the food in the room by 10pm. The guests where not in the room so Khaili just left it there with the Hot Bag and the clipboard w/ the receipt. Khaili was kind enough to stick around and take care of this because I had a lot of check-ins still left from the 9:30pm boat. Sadly I did not get the amount total. I did tell the guests, who came by later, that we will need to have both the signed receipt and the hot bag back in the morning. Please make sure we get those.
FRONTLINE
The call center and I talked a lot this evening. She was doing test calls and nothing of ours was making it to the call center. Bird rock was doing fine but she couldn’t get anything to work. Almost all phone calls were being rolled into the “5800″ line. I had several complaints that people trying to leave messages were being disconnected once typing “3001.” Many of the messages I did get were just hang-ups. I was swamped and I admittedly missed a few calls but I did notice that they were ringing for a long time before disappearing. Who knows just how many of the calls I missed made it to voicemail…
NO SHOWS
Rooms 314, 336, 338, & 341 were all now shows at closing. They are all under the same name and Khaili said that she spoke with them earlier in the day. So I wonder what happened.

LAUNDRY ROOM MADNESS
The breaker keeps shutting off in the laundry room. At first i thought that the ice machine was broken, but after i talked to Dave he told me it was a breaker problem. So i learned how to fix the breaker, but it happened again. and again. Pretty soon by the end of the night the breaker blew 4 times in a row while i was trying to get ice. Also, every time i turned the breaker back on, the washer and dryer that were interrupted turned back on again. They were stuck mid cycle.

Sorry to leave this behind, but there was one phone message that needs to be returned. They need to switch the dates of their stay- the name and number are on the back desk on the message log.

When closing out a room to be cleaned the following day, please do the following: mark the room as “closed” in the Unite Closeout section of WRP. Then write in the HK report that the room needs cleaning. Then, once the room is cleaned, erase the note out of the HK report, since it will stay there and will not clear on the following day. What? Ask me if that doesn’t make sense. Thank you.

KEYS KEYS….misplaced keys. I opened with Lilly this morning and the patio was locked. This is fine in all, but when the patio key is misplaced, it makes it VERY hard to open Cafe Zia. IT’S ALL ABOUT THE DATES
Please always always always read the dates of a reservation back to the guest after making a reservation. And, and I can’t stress this enough, double check the dates when checking a guest in as well. Then, when making the room key, double check the room WRP assigned with the room key you just made. I know it gets hectic during check-ins, but this needs to be done, every time.
FILING SCHOOL
After you double checked clipper assignments or online reservations, please file the hard copy in the file cabinet under the fax machine. And: put the online reservation in the online reservations folder, the clipper into the clipper folder, the HK report in the housekeeping report folder. Then: the newest piece of paper always goes in the front of the folder. Got that? There will be a test next Wednesday!

NEW BIKE PROCEDURES
Per Cindy, from now on we will be locking up the bikes at night and when they are on the racks. This is to help us keep track of the bikes during the day and combat a recent rash of “late-night” bike borrowings by guests unknown. I have made up two 15′ lengths of cable. We also have 2 new padlocks that are keyed to the same key (Yay! one less key!). The front desk has a key right inside the saloon doors in the office, Cafe Zia gets one to keep in their cash bag/register and we have 2 extras in the safe.
At night, link the cables together and lock up all the bikes together. During the day, one cable will go on one rack and one cable will go on another. When a guest checks the bike out we will go with them to unlock the bike, help them size the seat, and write down the number of bike used. When the bike is returned we need to go out and re-lock the bike to the rack. Since there are so many of us on shift at any given time we hopefully should be able to pull this off.
The procedure will last like this until the summer dies down or we get individual locks for each bike again. I am sorry for the confusion this is going to cause Natalia Wednesday morning. I will leave Cafe Zia’s key and some instructions in their cash bag. Hopefully it’ll go alright for her. If you have questions please ask me or Cindy. Thanks!!

Fax Machine
The fax toner is out, there was a thought that we had an extra toner in the back office, we don’t, so the fax machine is out of commission until the order comes in on Wednesday from SJ Office Center. The fax machine will store the faxes and when we put the new toner in,they will all print out. PLEASE PLEASE PLEASE, keep looking on outlook, you can then print anything you need to my back printer.

REMOTES
Hi everyone! We are missing a clear, plastic tub full of extra TV remote controls. This tub used to sit next to the safe in the back office. Now it’s a bummer those remotes are missing but the worse part is that our ONLY copies of the 4-5 different instruction booklets for the varying remotes on the property were in that tub too. I have looked just about everywhere but nada. Raquel doesn’t know anything about it either. If anyone sees the Macedonian girls could you post the question to them too? Some how the Hideaway was over booked. The guests that checked in came back saying that there was definitely a different person staying there. So, we adjusted the price for them and sent them to an Earth Room. I left a new receipt on the back desk for them in case they would like to pick it up. Why did this happen? There is another reservation coming in tomorrow?? Do we need to find them a room elsewhere?
I called David Waldron and the # for Housekeeping and left a message with both numbers asking that they please call us back asap.

FUZZY THINGS: Don’t forget that when you take a reservation for a pet room, you have to manually enter the pet fee ($15/night). Also, don’t forget to get the critter’s name and enter it in the housekeeping notes so that our housekeepers can set the room up appropriately.

UH OH…
So last night when I tried to forward the calls it would not let me. I dialed 9 then *72 and all I got was a message “we’re sorry but the service is not available on this line” so I tried just *72 and got an error constant beeping. So I tried the other lines and had the exact same problem.

FORWARDING THE PHONES
As of today we will forward our phones to Front Line call center at night. How? Read and initial memo on white board. Very important: cancel the forwarding in the morning.
BIKES
As of tomorrow we will track our checked out bikes with a spiffy form Elena or I will make (in bike release form folder). Our exchange students will bring all ELEMENTS bikes to ELEMENTS in the morning and tell the FD staff which bike they have brought back. In the evening they will take a bike home and will tell the FD staff which one they will take home. Yeah! And since we are well staffed currently, when a guest checks out a bike, please go out there with him/her and help find a good bike and write down (on Elena & Steffi’s spiffy bike check-out form)which bike the guest checks out.
NOTHING TO DO?
Check the mid-day procedure list on my bulletin board and do the things on it. Walk through the lobby and gift shop as if you were a guest, then straighten pillows, vacuum, put gift shop in order, replenish coffee station, check flowers. Or walk through the property, pick up cigarette butts, behead dead flowers, pick weeds, check the bikes for air or loose parts.
Go through upcoming reservations and make sure we didn’t drop the ball somewhere, make sure we have enough vouchers, gift certificates, beach cruiser release forms, pet registrations.
And if there is really really really nothing at all to do? Read our websites (Bird Rock has some nice new guest reviews, do you know our fall special at ELEMENTS?), read our reviews on Trip Advisor, read the chamber of commerce and the visitor’s bureau websites, in short: learn about your field.
We have a busy week ahead of us, folks. Let’s be brilliant!

Tomorrow (Thursday) Terri Ogle is sending one of his painters to paint the front office door. The door will be taken down, so we will be without door for the day. But the weather should be warm and we will not miss it.. Plus it will be so nice to have a door with out red shinning through.
Call Center
Every night the closing person will forward the 1st and 2nd line to the call center, please see Steffi or I for directions. Then every morning, the opening person will have to deactivate the call forward, DON’T forget to ask Steffi and I for directions.

How’s it goin? Well today Lilly and I sorted through all those extra keys we had laying around and relabeled the key box. In the process we also put all the key lock boxes together. They are in a plastic container on the back desk. Gio could you give those to Seth to put in the maintenence shed today?? Theres also a container of remotes that have been hanging out on the back desk. Where do those go?? Are they there for a reason??

Well folks, we didn’t make our June forecast. I’m sure that we’re all pretty bummed about that. I have been very carefully analyzing why we didn’t make it and I think it has mainly to do with the poor weather. Which, despite my wishes, remains out of my control. Both Elements and Bird Rock came in under expectations even though our advanced bookings were really high. What does this mean? Unfortunately for you it means no June bonus. For us, it just means we still can’t afford to pay all those darned bill collectors. BUT, it doesn’t mean we need to give up hope. Quite the contrary. I really do think that it was the weather and not the ecomony (which depsite my children’s wishes, also remains out of my control). So, let’s just all keep those beautiful smiles flashing and dazzle our guests, future, current and past, with our wonderful hospitality. Any questions, comments, ideas or dreams, just let me know. Please tell Raquel or Regino that the Nordstom’s group will be putting all of their stuff in room 314. They will have a late check out around 1:00pm like last time, this way they can check out of all the other rooms on time.

It is nice to have employees that try to help as much as they can.
Room 106 had a clogged up sink. I tried my best to un clog it but it needed real help. Seth came in at 9:30 pm but his card deactivated, THANKFULLY Morgan was upstairs and could come to set it. Then Seth went on to fix the sink.

I am assuming that there was a misspelling in his name and it was made for the wrong date as well, but maybe it just didn’t get processed. I’m not sure. If you recognize it maybe you would remember if you made it for a different date. Let me know if you have any questions about this.

Go ahead, call me a party-pooper. Let’s just get that out before you read any further.
Now here’s why: last year Laura and I were MORTIFIED to find a bunch of ELEMENTS chairs spread out along Spring on the Fourth of July with signs saying “reserved for ELEMENTS staff,” and occupied by the backsides of many ELEMENTS staffers and their friends and family paying no heed to the countless paying guests squished on the sidewalk behind them.
No, no, no, no. How many millions of ways can I say NO!? Is there anyone who does not get this? Please spread the chairs out again this year, but reserve them for ELEMENTS GUESTS. Remember, the folks who bring you wonderful things like…paychecks? If you want a reserved seat for the fourth, bring your own chair and stake it out down the road. This year the ELEMENTS stoop is 100% about customer service. No exceptions, and Laura and I will be checking.

Happy Sunday
Dave and I just got back from cruising along the West Side (sorry guys), it was so beautiful, and nice and cool. We are so lucky to live in such a wonderful paradise.
Bikes
This morning I asked Khaili to find out where all our beach cruisers are, I know that our university students have 2 of them, and one is out of service, but when I was at the hotel bright and early this am, i counted only 12. REMEMBER we have to make sure EVERY night, that they are all accounted for. Khaili please make sure that this was completed today so that we know where they all are, I told Emilija today that if she could just make sure that when they take the bikes for the night to ALWAYS tell the front desk what number, and also they should always be the older ones.

I told the girls this morning that they should get an umbrella and stand from maintenance to put up by the bar in the coffee shop, it will give them some direct sun relief and help make the counter not so hot. Morgan can you make sure this happened. Thanks

Good news: The wedding ring was found! The family was really nice and thrilled that they found it. I had a good time talking with them.
Lilly and I think that there should be a small recycling bin next to the trash can because those cups are recyclable. We could also put some sort of sign that asked everyone to please recycle.

Hi… hello…Heya…
Well its 8.30am, and Natalia and I are dying of heat stroke! Kidding. But, WOW, I cant believe that its this hot this early in the morning. We are switching turns to sit in the shade until the sun gets a little higher in the sky.
I’m not posting anything special, just felt that I haven’t blogged in a really long while. Oh yes…. one thing! I was supposed to enter the Credit card into the computer from Zia, but they were not in the safe. Does anyone know where they went?

It’s good to be back.
Well, the mornings been busy with lots of guests enjoying the summer weather. There are a few things though that I would like to check on:
Room 332- the handle to the bathtub was loose, and then fell off when i went to check it! Regino went in to check it right away. Is it fixed? Great.
Have you ever heard of Quail Croft Goat Cheese?? It’s local and very yummy. If you would like to visit this local farm, you will find it at 2553 A Cattle Point Rd.
Thanks for the Fresh Breath Emporium Steffi!!! Now we all can show off out pearly whites and beautiful smiles..

HELLO SUN!
Nice weather today. It was awesome.
There was a not-so-awesome incident today, however. The guests in 312 lost a wedding ring, and they were sure it was left in there. We searched very thoroughly but nothing came up. If it is found, their reservation number is 986882.
Priscilla and I took a field trip down to the Hideaway. I like it. If you just want a quite spot, Priscilla and I thought it was perfect, as quirky as it may be

Check out Steffi’s FRESH MOUTH EMPORIUM for the front desk staff. Enjoy luscious organic gum and assorted organic mints and have breath fresh as a dewy Spring morning in a meadow. Not only those of us who still pray to the tobacco gods (you know Laura’s heart hurts every time you smoke!), now everybody can enjoy fresh breath when talking to our guests. SCHEDULE
I put up the schedule for 7-7 to 7-20. Due to day-off requests we are all working all kind of shifts on all kind of days, yeah, summer! So please look closely. Cafe Zia will stay staffed with just 1 person, however, I made sure on the weekends to have either Gio or Lilly work the front desk, so either one of them can jump out there and help the coffee goddesses. You guys rock, keep up the good work!

I saw such a good movie last night, I laughed out loud. It’s called: “The Darwin Awards”. The Darwin Awards do really exist and are awarded to people who die in really really stupid ways, for taking themselves out of the gene pool. I know, a tad tasteless. In the movie our hero is a total nerd, who tries to find a profile for those guys (it’s guys, always) who die in really really stupid ways, in order to get a job with an insurance company. He finds that after all he may not be so different than them, trying to find meaning, trying to accomplish something….It’s hilarious.

San Juan Safaris
Any child under 2 years of age must stay with an adult in the cabin at all times, there is big windows on the whale watch boat so you will be able to see, or you can trade off with another adult. Please make sure ALL guests know this prior to booking a trip.

REMINDER:
Okay, we had a slight mishap with the clipper faxes. We have to make sure that they are faxed back after we receive and process them. Also, make sure you double check the dates. Today, I found a couple of reservations that were booked for july 8th for the clipper. I found the fax from them at the fax read: 02 July 08.
I can see how this would get confusing, but we really need to make sure that we get these right.

3) Double check all pages are printed and submitted to R & R (a total of 7 pages)

Lavendera Spa is closed on the 4th of July, For those guests that would like spa services please call spa d bune at 370-5027, they are going to be open to us only. spa d bune does not need our vouchers with it, they will charge the guests there and we will facilitate in making the appointment and directing our guests where they are located. If someone inquires about spa services on day of the 4th we will have an on call number to call. I will post that next week. But for spa reservations prior to the 4th for the day of the 4th call spa d bune directly.

FOLLOW UP
A system is only as good as the people using it. Yup, I know, pretty deep, ain’t it?
So: check, respond to, and file emails daily. People add on services, cancel, have questions, please respond to them, it is part of your job and needs to happen in a timely manner.
Check “new bookings” section in WRP constantly. Print out online reservations and process. And here is a biggy: respond to alarms and afterwards: turn them off. Elena and I started our shift with something ridiculous like 12 alarms. Half of them had been dealt with, it turned out.
Also: don’t forget to take the garbage and recycling out. Morgan put a spiffy closing check list on the back of our closing sign. Please make sure you do all those things before leaving.
Team work, baby! Don’t ask what your coworkers can do for you, ask what you can do for your coworkers. It’s summer. We can do this. Pay attention and have fun!

When we cannot use Lavendera for appointments, please call spa d bune,370-5027 but when we use spa d bune remember that we do not do the voucher system, the guest will pay spa d bune directly. But we will set up the appointment as usual. make sure to show the guest where the spa is.

Just a reminder to y’all. Do not process payment at check-in for Vic. Clip. reservations. They do not need to be processed as cash, voucher, or gift cert. Just leave them be. When you check them out on their departure date it should give you a warning box that says that the amount was added to Victoria Clippers direct bill account. If it doesn’t, that means that whomever made the reservation forgot to add it to their Corporate Account. Just add it then re-check them out. Should work then. Cindy deals with the bills for those rooms. If you process the payment then we have to go back and refund everything to make it work. THANKS!!! ^_^

YUMMY coffee, the girls are pro’s, as far as the charges go out at the coffee shop, if someone wants to charge an item from the coffee shop on to their room, make sure that you have the guests sign a charge slip, put their room number and print their name, these slips will go in the night drop bag with the daily paper work from Cafe Zia, before you put them in the bag please add them to the rooms and then put a check and your initials to indicate it has been done.

Did I mention how proud I am of Gio and Natalia? These girls rock!
Couple of things: when we check in guests and show them on the property map where the pool, spa, laundry room is, please point out Cafe Zia and mention that it is open from 7AM to 3PM daily.
Credit card sales: when guests want to pay with a credit card at Zia, the girls will use the manual credit card machine. One of us needs to input those sales into WRP every day after Zia closes (Gio will do this mostly). Go to house accounts to do this.
Room charge: when guests want to add a coffee drink to their room, Gio will add the charge to their room into WRP on her laptop. When Gio is not working or her computer isn’t, the front desk will get a call from cafe Zia, saying which amount to add to which room.
This is all a work in progress, so bear with us and tell us your ideas.

Also, there was an extra brochure holder in the back office, and the coffee shop needed a place to put some island maps so we brought it out there. I didn’t think it had much use sitting there empty. Just letting everyone know in case they need it.

A guest left a message asking for more towels and if a phone call on a phone card from the room would cost her. She didn’t leave her name or number or room. Just so you know.
Also: Morgan was trying to find who made the call from which room and somebody had turned off the CMS & winlink program on the back desk computer. Those two programs need to be on at all times. They track the long distance calls from the rooms.

GIFT CERT NO SHOWS
When making a reservation with a gift cert. PLEASE make sure you get the gift certificate number. More often than not the Gift Cert. number is already used to make a pseudo-reservation on WRP. Just use the info in WRP to make a reservation that way we have the GC number. We had a no show on the Wind House last night. Res #1180029. Our cancellation policy still applies to GC reservations. If they make a reservation, and we hold that room on their GC. Should they “no show” on us we will void their GC. That’s it.
DAY SPA
Lavendera will hopefully have some more brochures available on Monday so we can get some more then for the lobby. Any thought on having a nice full-page list in the room folders?

LOBBY LIGHTS
Well the track lights above the lobby are stuck on permanent “mood lighting.” I think the ballast, transformer, or whatever handles that thing is finally going bad. Can we have Dave look at it? It’s a little dark in here without them at full power.
BIKE(s)
Bike number 20 rear wheel is bent. We need to take it over to Island Bicycles to have it repaired. I hope they can just re-true it or else it’ll cost us a new rim. Booooo.
WEDDING GUESTS
Well as you may have notices we are almost sold out for Saturday. A lot of those folks are with a rather largish wedding. That means that there will usually be a run on irons and ironing boards. if it looks like everyone and their bridesmaid needs one here are some tips. Refer people to the full-sized ironing board and steam iron in the guest laundry room. Ask guests to call you when they are finished so we can have housekeeping pick it up and take it to another guest. Just a thought. Also a big concern with wedding guests are the folks who are trying to get into their room extra early to get ready. Because we are so full please try to avoid moving rooms around. There is too much of an opportunity for reservations to me messed up or wrong room keys given out. Good luck morning folk.

We had a mishap with the housekeeping report today. Whoever prints out the housekeeping reports for Raquel or Regino, please check the “page 1 of (insert total number of pages here)” at the bottom of the first page, and count to make sure that all of those pages are there.

Ok…so I organized the back cabinet with all the brochures, so hopefully it will be a little easier to find what we are looking for. Also…we are running low on a few brochures for San Juan Safaris, M & W, Susie’s, etc. So I called all the places that we need brochures from and they will hopefully be bringing them by in the next few days.
Also! Alarms…they can be kind of confusing when it just says “follow-up” but there are no notes in the reservation…what am I following up on?
Airplane poster in the lobby….we don’t sell them anymore as most of you probably know. They can be found on linneadesigns.com
Western Prince has tons of space on their 2pm whale watch today…and J-Pod is back so whale sightings are almost a guarantee. Western Prince also wants us to know that their set summer schedule will be a 2pm everyday, with a 10am cruise on Fridays, Saturdays, and Sundays.
That’s pretty much it…the phones have been ringing like crazy this morning!!

Hello everyone!
I feel like it is October… sun, where are you?
Okay, so I have a couple of things to tell you all–
The first is a reminder that the summer ferry schedule is in effect on the 22nd. YAY! Summer is almost here!
The second is that I made up a waiting list for the people who request a room that isn’t available when they make their reservations. It is an excel document and it is in the “waiting list” folder. Filling it out is pretty much self explanatory.
Things to remember about this waiting list:
-Always check the waiting list after a cancellation is made, to see if someone requested that room for that time.
-It is a first come first serve deal, so before you let the customer know about the opening, make sure they were the FIRST ones to request that type of room.

BACKDOOR KITCHEN VOUCHERS
I made a voucher log and put our very first entry in it, but we do not have anymore of those pocket dividers here so for now the sheets are in the front pocket of the voucher folder. I know we have lots of extra at BR so I will bring some up with me when I come in tomorrow.
How weird to be here at ELEMENTS it feels like its been forever and like I should be doing dishes or breakfast prep or… something.
We got an online rez. (1183530) requesting that we add a whale watch tour to the guests stay because she wants to join her sister who is supposed to have already had a trip booked for the 21st with San Juan excursions at 1:00pm, but when I looked up the sisters rez (1181056) there was nothing noted about whale watching anywhere. I called San Juan excursions and left a message to check that nothing was booked and then not noted. If they call back and nothing has been booked please make sure that it does get booked. This is kind of a rambling blog so ask me if you have any questions, in any case I will be in at 3:00

Also, if Backdoor Kitchen e-mails us their logo, it is for the dining vouchers. There is a voucher already made in publisher, so if you get that e-mail, please copy and paste it into the voucher. If this doesn’t make sense (very possible) just ask me.
One more thing… Seth put the new bikes out today. If someone wants to use them, make sure that they know that the seats are not adjustable yet. The adjustable seat clasps aren’t here yet.

The Pacific Lutheran elderly group has been told that they have 12:00 check outs, please let Housekeeping know. They also will be bringing their bags into the office to be stored, we are then suppose to load their bags into the van and take the luggage for the 18 people down to the clipper for them. Hopefully those people will find their own way down.
I also confirmed a webervation, and caught that they were looking for a massage. Since the reservation is for 6/22 lets try and get it booked right away! it may be a side by side.. “lets make it double”
